Overview
GamePlan is an online ordering platform which allows users to place inquiries and book rooms at venues with private dining and dedicated event spaces. It is designed to streamline the ordering process by using a series of system generated filters to determine what is available to the customer based on the size of the group, start/end times and date. The filters can determine menu options as well space options via the guest portal rather than the traditional back-and-forth email and phone process.
Daily Management
If the space is available an inquiry can be sent for approval. The venue can send a hyperlink via email back to the client for them to complete the order or they can be contacted, and the order finalized by the venue sales team with a email confirmation for payment sent.
If by choice a user can directly place the order for menu, beverage and additional services such as A/V. A rolling estimate is generated for budget. Once completed, order request can be sent for approval. If approved, the transaction is completed automatically through an online payment processing application built into the program. Currently the system uses Braintree and BluePay credit card processing services.
This confirmation process can also be configured with deposit schedule and automatic terms and conditions of the sale. Additional controls can be established for advance orders only as well as number of events per time period and date ranges.
The confirmation record can also be forwarded to the operations team as the BEO or event information document. This can also be manually edited to add additional internal operational notes.
Inquiry Tool
The portal itself captures leads and once sent to the through the system these leads can be used for email marketing via the service provided in the software or exported to a useable format for other email marketing tools.
Custom Relations Manager (CRM)
The dashboard provides value data such as inquiry to confirmed ratio, peak inquiry dates, sales analysis and other analytical information about the nature of your sales through the use of the software
System Requirements
The system is web based and accessible with any computer with internet access. It functions with most internet browser but may have some difficulties with Windows Internet Explorer. It uses the users email service for all email communication and is compatible with Google Calendar.

GamePlan communicates with Tripleseat and Google Calendar.
On-Boarding
There is no additional data entry fees as all of the input of initial information is done through information exchange with the GamePlan support team who will create a custom onboarding document for client review prior to input.
The building of the tool is a 2-4 week build process depending of the engagement and speed of data collection and edit by the client. Imagery will be reformatted by GamePlan to fit within the constraints of the programs
Fee Structure
GamePlan offers a Flat Monthly Fee for users.There is a one-time Initial Set-up Fee with a subsequent Flat Monthly Fee regardless of number of users
